1. Introduction

These Terms & Conditions (“Terms”) govern your use of our website and your bookings with Adhvan Crafted Journeys (“Company”, “we”, “us”, “our”).

By using our website, making an enquiry, or booking any service, you agree to these Terms and confirm that you are legally authorised to do so on behalf of all travellers.

2. Our services

We act as a travel planner and intermediary, helping you with customised tour packages, hotel bookings, flights, visa assistance, transfers and related travel services.​

Most of these services are provided by independent third‑party suppliers (airlines, hotels, destination management companies, transport providers, visa centres, etc.), and your bookings are also subject to their terms and conditions.

3. Your responsibilities

When you use our services, you agree to:

  • Provide accurate and complete details for all travellers.
  • Ensure all travellers meet passport, visa, health, vaccination and other entry requirements of the destination country.
  • Travel data: Travel dates, destinations, preferences, hotel preferences, special requests
  • Carefully check all quotations, itineraries, vouchers and confirmations and inform us quickly if you find any mistake.

Failure to meet passport, visa or entry requirements may lead to refusal of boarding or entry, and related costs will be your responsibility.

4. Booking, confirmation and payments

  • A booking is considered confirmed only after we receive the required advance payment and send a written confirmation or voucher.
  • The advance amount and payment schedule depend on the type of trip, travel dates and supplier rules; these will be shared with you in the quotation or invoice.
  • The balance payment must be paid by the due date mentioned in the quotation/invoice; if not, the booking may be cancelled and cancellation charges will apply.
  • Payments can be made via bank transfer, UPI, card, or other modes we specify, and any bank, payment gateway or currency conversion charges are usually payable by you unless stated otherwise.

Online payments via Razorpay: When you choose to pay online using a card, UPI or net banking, your payment may be processed through our payment gateway partner Razorpay. Your payment information is transmitted directly to Razorpay over encrypted connections and is handled in accordance with the Payment Card Industry Data Security Standard (PCI‑DSS).

We and Razorpay do not store your full card details after the transaction is completed; the information is used only as long as necessary to process your payment and comply with applicable law. For more details, please refer to Razorpay’s policies at https://razorpay.com.

5. Prices, inclusions and exclusions

  • Prices are usually quoted in Indian Rupees (INR) unless clearly mentioned otherwise.
  • Prices are based on rates from airlines, hotels and other suppliers at the time of quotation and may change before full payment if there are currency changes, tax changes, fuel surcharges or supplier rate revisions.
  • Only items listed under “Inclusions” in your itinerary/quotation are part of the package (for example, specified accommodation, transfers, meals and sightseeing).
  • Items listed under “Exclusions” (for example, personal expenses, tips, optional tours, extra meals, room service, early check‑in/late check‑out, city/resort taxes) are not included and must be paid by you.

6. Cancellations and refunds

Unless a specific package or supplier gives different rules, these general cancellation terms may apply to land arrangements and our service fees:

  • 45 days or more before departure: up to 10% of total tour/service cost or actual supplier charges, whichever is higher.
  • 30–44 days before departure: up to 25% of total tour/service cost or actual supplier charges, whichever is higher.
  • 15–29 days before departure: up to 50% of total tour/service cost or actual supplier charges, whichever is higher.
  • Less than 15 days before departure or no‑show: 100% of total tour/service cost.

In addition:

  • Some services (such as air tickets, visas, peak‑season bookings, non‑refundable hotel rates, festival/holiday bookings) may be fully non‑refundable from the time of booking as per supplier rules.
  • Refunds, if any, will be processed only after we receive the refund from the suppliers, after deducting applicable cancellation charges, taxes and our service/processing charges.
  • Refunds may take a reasonable time to process depending on supplier timelines and banking channels.

7. Amendments and changes

  • Any change to a confirmed booking (such as dates, hotels, flights or itinerary) is subject to availability and supplier rules.
  • Suppliers may charge amendment/change fees, and we may also charge a service/administration fee per amendment.
  • Airline rules apply strictly to name changes, date changes and route changes; some tickets may not allow changes at all or may involve high charges

8. Visas, passports and travel documents

  • You are responsible for holding a valid passport (usually with at least 6 months’ validity from the date of travel), required visas, permits and other travel documents.
  • Where you request visa assistance, we act only as a facilitator and cannot influence or guarantee the decision of embassies/consulates or authorities.
  • Visa fees, documentation charges and our service fees are generally non‑refundable, even if the visa is refused, unless clearly mentioned otherwise.

9. Health, insurance and special needs

You should be medically fit to travel and obtain appropriate medical advice for vaccinations or health precautions related to your destination.

Purchase of comprehensive travel insurance (covering medical expenses, baggage, trip cancellation, delay, personal accident, etc.) is strongly recommended but is usually not included in the standard package unless clearly specified.

Any special requests (such as wheelchair assistance, special meals, adjoining/interconnecting rooms) must be told to us at the time of booking; these are subject to supplier availability and cannot be guaranteed.

10. Conduct and behaviour

Travellers are expected to follow local laws, hotel rules, and instructions of guides and local representatives and to behave respectfully with co‑travellers and service staff.

The Company or its local partners may refuse service or remove a traveller from the tour, without refund, if their behaviour is unsafe, illegal or seriously disruptive to others.

11. Limitation of liability

The Company acts as an intermediary between you and independent suppliers (airlines, hotels, transporters, local operators, etc.) and does not own or control these suppliers.

The Company is not responsible for loss, damage, delay, injury, accident, death or other consequences arising from:

  • Acts or omissions of third‑party suppliers.
  • Events beyond our reasonable control, including natural disasters, epidemics/pandemics, war, civil unrest, strikes, government actions, technical failures or force majeure events.
  • Airline or transport issues such as schedule changes, overbooking, denial of boarding, baggage loss or delays.

To the maximum extent permitted by Indian law, any liability of the Company will be limited to the amount actually paid to the Company for the specific service giving rise to the claim.

12. Force majeure

If our ability to perform services is prevented or seriously affected by events beyond our reasonable control (such as natural disasters, pandemics, government restrictions, strikes, political unrest or major technical disruptions), this will be treated as a force majeure situation.

In such cases, cancellations, refunds, credits or rescheduling will be handled according to the policies of the relevant suppliers, and we will not be liable to pay any extra compensation beyond what we receive from them.

13. Intellectual property

All content on our website (including text, logos, images, graphics and layout) is owned by us or used under licence and is protected by applicable intellectual property laws.​

You may not copy, modify, distribute or use any website content for commercial purposes without our prior written permission.

14. Website use and disclaimer

Information on the website (itineraries, prices, descriptions, photos) is provided in good faith and may change without prior notice.

The website and services are provided on an “as is” and “as available” basis; we do not guarantee that the website will always be available, error‑free or free from technical issues.

15. Privacy and data protection

Your use of the website and our services is also governed by our Privacy Policy, which is part of these Terms.

By accepting these Terms, you confirm that you have read and agree to the Privacy Policy available on our website.

16. Governing law and jurisdiction

These Terms are governed by the laws of India.

Subject to applicable law, the courts in Chennai, Tamil Nadu, shall have exclusive jurisdiction over any disputes arising from or related to these Terms, our website or our services.
